Going paperless is becoming a popular option for both large and small businesses. It’s not only better for the environment but it helps with productivity and will even help you save some money. Before you get started, here are some questions you should answer.

What Department Has the Most Clutter?

When you’re going paperless, you should first identify the areas in your business that need the most attention. If you have a billing department, human resources, or financial department – these are likely candidates for a lot of leftover paperwork. These are the areas that are usually handling the most paperwork on a daily basis and would benefit the most from a paperless system.

What Processes are the Slowest?

Is productivity hindered by the amount of paperwork that your business handles? Consider the areas or departments that have the slowest turn-around and find out why. If it’s because of the process and the involvement in constantly filing and finding files and paperwork, then you know that area would likely benefit from going paperless. Talk to the employees that work in that department for better insight into how a paperless system would increase productivity and alleviate some of the stress that they experience. Take note of each step so that you can implement those changes into the new system.

How Will We Access Digital Storage?

Think of your processes from the point of view of already transitioning to paperless. Do you have a plan for managing, organizing, and accessing those digital files? Once the items are digitally scanned, you’ll need to choose a software system that allows you to manage those files so that they are easily accessible by your employees. The software will not only allow you to organize those files, but they will also keep them secure. They can be stored on your company servers or in the cloud. In terms of those physical files, you can discard them in partnership with a shredding company that will ensure those files have been destroyed in a secure manner.
