What Document Management Solution Is Right For Your Business?

Finding the perfect document management solution is easier than you think!

We’ve all heard horror stories of hours of work being lost to a crashed hard drive, or an accidental deletion, not to mention the costly upkeep or purchasing more and bigger storage devices. On the other hand, there are concerns that information on the Cloud (Software as a Service, ASP, On-Demand) might be more easily hacked because it’s designed to travel through the ether more easily. Since both of those problems have their own separate safety nets, the real consideration is the price as its relatable to function. Depending on the kind of company you are and what your IT and storage needs are, either document management solution could serve your purposes more efficiently.

How Much Do You Want To Spend On Data Storage?

If your company has space and the capital to invest in software licenses and equipment, not to mention employee training and a relatively accurate initial estimate of the exact amount of room on hard drives that your company needs currently and will grow into it, then on-premise document management has a strong case. A cloud-based storage solution would be ideal for a company expecting to evolve, but with small beginning needs. There are usually monthly fees involved in outfitting your storage this way, but it is less expensive for companies that need to be able to communicate between multiple locations and don’t have the infrastructure in place to facilitate this transfer of information. Think start-ups and Internet-based businesses – companies with low overhead and low costs at their inception.

How Does Your Company Function Primarily?

Would you say that your business is done on site for the most part, with an office area, a warehouse, (although off-site storage is always an option) and a physically present IT department? If that’s the case, then the maintenance fees of cloud-based storage may not apply most beneficially as a document management solution. However, if you find that the need to get your company up and running, connected, and configured in a short period of time trumps being able to keep eyes on all your data always, then you might want to avoid devoting such a large portion of your budget to hardware and software for your premises.  Operating on the cloud can help your company go paperless as well because so much of your data is available through the internet that it eliminates the need to print, mail, or fax.
