Learn about the benefits of paperless offices.

More and more businesses of all sizes are looking for new ways to engage with consumers, reduce costs, and improve their business without too much overhead; and going paperless fits the bill. When your office has a paper problem, it can cause a multitude of issues. Along with looking messy and taking up space, it leaves endless room for error and data loss. Going paperless can be easy and painless when you have the help of a knowledgeable digitizing company. With that in mind, let’s go over some of the significant advantages of going paperless.

Sustainability

One of the most obvious reasons to go paperless also has the highest commercial benefits; reducing paper use is excellent for the environment. Today’s consumers are more aware than ever that companies of all sizes have more of an effect on the environment than any individual. This is why taking steps to show sustainable practices is becoming essential. Removing paper from your offices is a small step, but one to be celebrated and advertised to your customers.

Fewer Mistakes and Lower Costs

When you work using paper the chances for error are much higher. Not only can paper documents be lost and damaged, but they’re also more prone to human mistakes like misspellings, and lousy penmanship. Not to mention, the result of a lost document can be a significant financial issue. Some estimates suggest that every lost document costs anywhere from $125 to $700 in assorted labor and miscellaneous costs. When you add in the fact that a paper document is lost every 12 seconds, the costs quickly add up.

Better Security

When your documents are stored only in a paper format, they could be quickly destroyed by fire or flood. Even a false alarm sprinkler malfunction could ruin significant amounts of needed and essential data. Imagine the loss your company might suffer if all your data was wiped out in one instance. Additionally, paper documents are easily lost, misplaced, and can easily be stolen without notice. Unlike a data breach with an immediate and visible footprint, if your paper documents are stolen, you may not realize until it is far too late.

Better Workflow

When documents are digitized, it allows for more productive, a simplified workflow that improves all areas of your business. Not only will more people have access to information from anywhere in your organization, more that one person can refer to a document at a time. There are dozens of ways that digital records can improve workflow and productivity, we’ve gone over a few in other articles.
