“A recent PCI DSS compliance study reveals that 71 percent of respondents do not believe their organization views data security as a strategic initiative, and 55% do not believe their CEO has strong support for PCI DSS compliance efforts. More than half do not believe their organization is proactive in managing privacy and data protection risks.” – PCI DSS Compliance Study, Ponemon Institute, LLC

Fortunately, technology has also allowed for the effective management of information, which helps streamline processes, minimize downtime, boost productivity, and save money.

“Manufacturers understand it is IT investment that drives productivity and growth, and they see there is much more to be accomplished in this area.” – Manufacturing Business Technology Magazine, “Doing Well, Manufacturers Look to Do Better.

In order to stay most competitive, manufacturers must consistently leverage technology. And while computers and robots have long been a staple of the manufacturing supply chain, manufacturers are now turning to technology in a new way: to manage paper documents.

The Manufacturing Industry and Enterprise Content Management (ECM)

Manufactures are adopting ECM technology to help them manage information electronically for improved productivity, unify information systems to enhance collaboration, and simplify security and regulatory compliance. And Digitech Systems’ ECM Technology is helping manufacturers accomplish just that!

PaperVision Entrprise Workflow: Automatically route documents through user-defined manufacturing procedures to help streamline processes.

ImageSilo: Conveniently store and access data online without capital costs

And this is just the beginning!

Digitech Systems offers its comprehensive Enterprise Content Management (ECM) product suite exclusively through its Value-Added Resellers, like Micro Records.
“HMDA alone require the bank to complete 25 specific items on the Loan Application Register for every routine mortgage refinancing,” according to Bradley E. Rock, Chairman of the American Bankers Association. “Considering that more than 10 million mortgages were refinanced over the last three years, it is obvious that this is a huge burden.”

Lenders are asked to submit such reports electronically via encrypted email or secure file. Violating HMDA can result in sanctions, including civil money penalties. Because of this, lenders are relying more and more on technologies to help them automate this entire process.

Enterprise Content Management (ECM) from Digitech Systems

Digitech Systems ECM product suite – ImageSilo, the on-demand ECM service, and PaperVision Enterprise – allows lenders to easily scan, index, store, and manage loan-related documents electronically. This not only helps ensure HMDA compliance, but also significantly boosts efficiency and productivity. Additional benefits include:

Integrate multiple data systems

Automate document routing

Store email messages for future retrieval

Manage every document in a single, searchable ECM system

Unlimited scalability

Unlimited index fields

Transforms scanned information into editable text

Automatically identify any fields that failed to populate properly

Generates reports showing who accessed what information

Send statements to an unlimited number of branch officers or recipients

And so much more!

Enacted in 1999, the Gramm-Leach Bliley Act (GLBA), which is mandatory for all financial institutions, regulates the way in which the collection, disclosure and protection of consumer’s information is handled.

Implement efficient means for information distribution.

Manage Security controls to protect personal information and prevent threats.

Establish security procedures to prevent fines and save money.

Failure to comply with GLBA may result in up to 10 years in prison and $1 million in fines.

“As part of its implementation of the GLBA, the Federal Trade Commission (FTC) issued the Safeguards Rule, which requires financial institutions to have measures in place to keep customer information secure. But safeguarding customer information isn’t just the law. It also makes good business sense. When you show customers you care about the security of their personal information, you increase their confidence in your company.” – PTC Facts for Business, Financial Institutions and Customer information

So, as you can clearly see, GLBA compliance is crucial for several reasons. And ECMNOW! from Digitech Systems can help! Whether using Papervision® Enterprise, Digitech’s on-prernise software, or ImageSilo®, Digitech’s cloud ECM service, ECMNOW! allows financial institutions to gain control, enhance efficiency, improve security, and save money.

Distribute Information Efficiently: Under GLBA, financial institutions must supply each customer with a privacy notice explaining what customer information is collected, how it is shared, and, of course, how it is protected. ECMNOW! helps improve document distribution and provides a secure means for sharing information with customers.

Control Security: GLBA requires the protection of customer information. ECMNOW! offers tools to proactively guard against unauthorized access. ECMNOW! provides extensive security features, reducing time, energy and money spent trying to establish such plans.

Today, however, these SEC Rules also include electronic information and specify which documents should be stored, including securities sales records, ledgers reflecting assets and liabilities, securities borrowed or loaned, dividends and interest received and retention schedules. These rules also require all business communications and copies – paper, email, or audit reporting – be indexed, searchable for three years, and stored on unalterable media.

Failure to comply with SEC Rules 17a-3, 17a-4 and 17ad-7 can result in millions of dollars in fines. And no one is immune.

“In response to a cited email archiving violation of SEC 17a-4, five of the largest investment banks in the world (Goldman, Sachs 8a Co., Citigroup Inc.’s Salomon Smith Barney, Morgan Stanley 8a Co., Deutsche Bank Securities Inc. and US. Bancorp Piper Jaffray Inc.) have agreed to pay a fine of more than $8 million,” according to the Wall Street Journal.

In order to avoid a situation like the one above, companies need a system that efficiently stores, locates and distributes information; and maintains control over documents to achieve compliance.

The Solution: ECMNOW! from Digitech Systems. ECMNOW! provides document storage and management capabilities through lmageSilo®, the cloud ECM service, or PaperVision® Enterprise, on-premise ECM, to help address SEC 17 compliance.

Store and Distribute Information: ECMNOW! allows companies to efficiently scan and store electronic documents and easily search for and retrieve those documents.

Comprehensive Records Archiving: ECMNOW! allows companies to index and preserve all business records in a secure location.

Maintain Control: PaperVision® Enterprise and ImageSilo® can boost control and implement audit tracking while preserving data integrity.

Under SOX, accounting and auditing firms need to exercise tight control over financial reports and transactions, such as document controls, disclosure methods and executives’ approval. Companies who fail to comply with SOX can result in serious penalties, including:

Fines ranging from $1 million to $5 million

Prison terms up to 20 years

To comply with SOX, accounting and auditing firms must develop efficient reporting and disclosure methods, maintain reliable internal controls for information security, and demonstrate these points. Because of this, many companies invest in Enterprise Content Management (ECM).

ECMNOW! from Digitech Systems

With paper documents, it is not only hard to remain compliant, but also demonstrate that compliance. ECMNOW! makes it much easier to produce mandated annual disclosures and quarterly updates for shareholders and the U.S. Securities and Exchange Commission, establish a controlled information security strategy, and demonstrate compliance.

Annual Discolsures and Quarterly Updates: Digitech Systems’ PaperVision® Enterprise and ImageSilo® simplify information disclosures for reporting processes.

Information Security: ECMNOW! enforces strict security policies and procedures, such as customizing access to files and improving auditing to maintain a record of all disclosures.

Demonstrate Compliance: ECMNOW! eases the burden of manually monitoring systems and provides simple reports to evaluate procedures.

Additional Benefits of ECMNOW! from Digitech Systems

With ECMNOW! you cannot only ensure SOX compliance, but also do so while saving money and improving operational efficiency.

“Companies have cumulatively spent billions on SOX thus far and are continuing this spending, according to AMR Research surveys. In the latest study, 42% of respondents reported that, despite the expense, the primary benefit of good governance, risk management and compliance practices is streamlining business processes.” – PR Newswire
